Record a meeting on iPhone you can actually use
You have a meeting in ten minutes. This page is the setup: what to tap, where to put the phone, what goes wrong, and how big the file will be. For the comparison of recorder apps and devices, see the main guide.
In one line. Open a recorder app, tap record, lay the phone flat in the middle of the table, turn on Do Not Disturb, and say the attendees' names out loud in the first ten seconds.
The 60-second setup
- 1
Charge check
An hour of recording uses roughly 5 to 8 percent of battery on a recent iPhone. Under 20 percent, plug it in.
- 2
Storage check
Settings, General, iPhone Storage. About 2 MB per minute for a high-quality recording, so a two-hour meeting is around 250 MB. Voice Memos at its default compressed setting uses roughly a quarter of that.
- 3
Do Not Disturb on
Swipe down for Control Center and tap the moon. Notifications are still logged, they just will not chime into the recording.
- 4
Open the recorder
Voice Memos for audio only. AI Transcribe if you want a transcript with who said what, and meeting notes afterwards.
- 5
Tap record, lay the phone flat
Screen up, in the middle of the table. The microphones are on the bottom edge, so no case that covers them.
- 6
Name the room
"Around the table: Dana, Priya, Tom." A transcript with speaker labels then has its own key.
- 7
Ask
"I am recording this for the notes, is that okay with everyone?" Four seconds, and it keeps you on the right side of consent rules in most places. Not legal advice; laws differ by country and, in the US, by state.
What goes wrong, and the fix
| Problem | Why | Fix |
|---|---|---|
| Everyone sounds far away | Phone at one end of the table, or in a pocket | Middle of the table, flat. For a long table, two phones. |
| One voice dominates | Phone nearest the loud talker | Move it toward the quietest person. |
| A rustle drowns a minute | Papers on or beside the phone | Keep a clear 20 cm around it. |
| A ringtone in the recording | Do Not Disturb was off | Control Center, moon icon, before you start. |
| The recording stopped early | An incoming call interrupted it | In Voice Memos, the memo ends and you start a new one. In AI Transcribe, the segment is saved and recording resumes after the call, then the parts are merged. |
| Fan hum under everything | Laptop or projector next to the phone | Move the phone, not the laptop. |
| The file is too long to share | Two hours of audio is a large file | Share the transcript or the notes instead of the audio. |
After the meeting
The recording is the raw material. What you want is a page of notes: what was decided, who does what, by when. In AI Transcribe, the transcript comes back in minutes with timestamps and, in most languages, speaker labels. Tap Create meeting notes for the structured summary, Create a todo list for the action items with owners, and Extract dates for the deadlines mentioned in passing. Export as text or PDF, or paste into Slack, Notion or an email. Voice Memos gives you the audio and, on iPhone 12 or later with iOS 18, a plain transcript without speakers or structure.
How big is the file, and how long can it be
| Recorder | Format | Size per hour | Maximum length |
|---|---|---|---|
| Voice Memos, Compressed | AAC | About 30 MB | Limited by storage |
| Voice Memos, Lossless | ALAC | Several hundred MB | Limited by storage |
| AI Transcribe | AAC, 256 kbps mono | About 115 MB | 2 hours per recording; imports up to 3 hours |
Change the Voice Memos setting under Settings, Voice Memos, Audio Quality. For meetings, Compressed is fine; the words matter, not the fidelity.
Recording a meeting that is on a call
If you are in the room and the others are on Zoom or Teams, the phone records the room and the speakerphone. If you are on the call yourself, record on the platform with the host's permission and import the file into a transcription app afterwards. Third-party iPhone apps cannot record phone calls; iOS 18 added call recording inside the Phone app on supported models, with an announcement to the other side.
Frequently asked questions
Can I record a meeting on iPhone for free?
Yes. Voice Memos is on every iPhone and records for as long as you have storage. On iPhone 12 or later with iOS 18 it also produces a plain transcript. Notes and action items need an app; AI Transcribe is free to download with a daily allowance.
Does recording a meeting on iPhone need everyone's permission?
It depends where you are. In the US, federal law and most states need only your own consent; about a dozen states need everyone's. Announce it and ask. This is not legal advice.
How far away can people be?
A normal meeting room table, with the phone flat in the middle, in a reasonably quiet room. For a boardroom table, use two phones and transcribe both.
Can I record a Zoom or Teams call on my iPhone?
If you are in the room, the phone records the room. If you are on the call, record on the platform and import the file. No bot needs to join.
Does the iPhone stop recording when a call comes in?
Voice Memos ends the recording when a call interrupts it. AI Transcribe saves the segment, resumes after the call, and merges the parts.
